If you are expanding your vacation rental business from Airbnb to Booking.com, you will quickly notice a stark difference in guest behavior: Booking.com guests cancel much more frequently.
Because Booking.com allows guests to search for "Free Cancellation" and book multiple properties without paying anything upfront, the platform suffers from a high volume of speculative or "fake" bookings.
If you do not handle these correctly, you will end up with an empty house and zero revenue. Here is exactly how to manage cancellations and invalid credit cards on Booking.com.
The Problem: The "Free Cancellation" Trap
Booking.com heavily incentivizes hosts to offer "Fully Flexible" (Free Cancellation) policies to maximize visibility in the search results.
A guest might book your property, plus two other properties in your city, with the intention of deciding which one they actually want later. They hold your calendar hostage. If they cancel three days before arrival, you are left with an empty calendar that is very difficult to re-book last minute.
The Solution: Non-Refundable Rates You should offer a Fully Flexible rate, but you must heavily incentivize the Non-Refundable Rate.
- Go into the Extranet.
- Set your Standard Non-Refundable rate.
- Set your Fully Flexible rate to be 10% to 15% more expensive than the Non-Refundable rate.
This forces guests to pay a premium if they want to hold your calendar hostage, pushing serious guests toward the guaranteed Non-Refundable option.
How to Handle an "Invalid Credit Card"
Often, a guest will book a Non-Refundable rate, but the credit card they provide to Booking.com declines when it is time to charge it. (They may have used a prepaid card with zero balance).
If their card declines, the reservation is still technically active, meaning your calendar is still blocked. You must manually cancel it.
The Exact Process:
- Log into the Extranet (or your PMS if it has this feature).
- Go to the reservation details.
- Click "Mark Credit Card as Invalid."
- Booking.com will automatically email the guest giving them 24 hours to provide a new, valid credit card.
- If the guest does not provide a valid card within 24 hours, the button in the Extranet will change to "Cancel Reservation." You must click this to free up your calendar.
Warning: If you forget to click "Cancel Reservation" after the 24 hours expires, your calendar will remain blocked, and you will not get paid.
How to Cancel a Booking (When You Have To)
Unlike Airbnb, where the host can initiate a cancellation (though they will be penalized), Booking.com does not allow hosts to cancel reservations.
A Booking.com reservation is a binding contract. If you accidentally double-book a guest, you cannot just click "Cancel."
What happens if you have to cancel? (The Relocation Process) If you are physically unable to host the guest (e.g., a pipe burst, or you double-booked), you must contact Booking.com support immediately.
Booking.com will enforce a "Relocation."
- They will find the guest a comparable property nearby.
- If the new property is more expensive than yours, you are legally obligated to pay the price difference.
- If the guest paid you β¬500, but the replacement hotel costs β¬800, Booking.com will invoice you for the β¬300 difference.
This is why you absolutely must use a Channel Manager to prevent double bookings. A single relocation can wipe out a month of profit.
Guest-Initiated Cancellations (Waiver Requests)
If a guest books a Non-Refundable rate and wants to cancel, they must click "Request Cancellation" on their end.
Booking.com will send you an email asking if you want to waive the cancellation fee.
- If you click "Yes," the guest gets a full refund, and your calendar opens up.
- If you ignore the email or click "No," the cancellation policy stands, and you keep the money.

Frequently asked questions
How much commission does Booking.com charge hosts? Booking.com charges 15% commission on the total booking value, including cleaning fees. Unlike Airbnb's split-fee model, the guest pays no platform fee β the host absorbs the full commission. This means you need to price 10β15% higher on Booking.com to maintain the same net revenue.
How do I get started on Booking.com as a vacation rental host? Create an account on the Booking.com Extranet, add your property details, upload photos, set availability and pricing, and complete verification. The onboarding process typically takes 2β5 business days including property verification.
Can I sync my Booking.com and Airbnb calendars? Yes. Use a channel manager like BookBed to sync calendars automatically via iCal every 60 seconds. You can also manually import iCal feeds between platforms, but the sync interval is slower and you lose centralized management.
