What is a Virtual Credit Card?
A Virtual Credit Card (VCC) is a temporary, digital Mastercard generated by Booking.com.
When a guest books your property and pays Booking.com, Booking.com holds the guest's money. Instead of wiring that money to your bank, Booking.com creates a temporary VCC loaded with the exact net amount owed to you (the guest's payment minus the 15% Booking.com commission).
Booking.com then transmits this 16-digit VCC number to you (or your PMS). It is your responsibility to "charge" this card like you would a physical credit card.
The 3 Rules of the VCC
Rule 1: The Activation Date
You cannot charge a VCC the moment the guest books. The VCC remains "inactive" until the activation date.
- For non-refundable bookings, the VCC usually activates immediately.
- For flexible bookings, the VCC almost always activates on the day of check-in. If you try to charge the VCC the day before check-in, it will decline.
Rule 2: The Exact Amount
A VCC is loaded with the exact amount of the reservation. If the VCC has β¬850.00 on it, and you try to charge β¬850.01 (perhaps you accidentally added a small stripe processing fee), the transaction will completely decline. You must charge the exact to-the-penny amount.
Rule 3: The Expiration Date
This is the most critical rule. VCCs expire. Typically, you have between 60 to 180 days after check-out to charge the VCC. If you forget to charge the card within the window, the VCC expires, the money reverts back to Booking.com, and you lose the revenue permanently.
How to Charge a VCC
There are two ways to process a VCC: the hard way and the easy way.
The Hard Way (Manual Processing):
- You log into the Booking.com Extranet.
- You open the reservation on the day of check-in.
- You copy the 16-digit VCC number, expiration date, and CVC.
- You log into your Stripe account (or your physical credit card terminal).
- You manually type in the card numbers and the exact charge amount.
- You repeat this manual data entry for every single reservation.
